Preload Operators onto Devices

By creating operator lists, you can specify operator-to-device assignments before starting a shift or any time you want to preload operators onto devices quickly. Operator lists are imported into VoiceConsole, and - upon import - the operators are assigned to the specified devices.

Create an Operator List

You can create an operator list in a VoiceConsole system, or in a text editor.

Create an Operator List in VoiceConsole by Selecting Operators

There must be enough devices at the site to assign to each operator in the operator list that you are creating. You cannot assign the same device to more than one operator. See Create Devices for information on creating devices in a site.

  1. Click the Operator Management tab.
  2. Under Navigation, click Operators.
  3. In the View Operators list, select the operators that you want to include in the operator list.
  4. Under Operator Actions, select Common operator actions > Create operator list for selected operators.
    VoiceConsole assigns the operators to devices in the following ways:
    • If a selected operator in the list being created is already assigned to a device in the site, then the operator is assigned to the same device.
    • If a selected operator in the list being created is not already assigned to a device in the site, then the operator is assigned first to devices in chargers, then to devices in the sleep state, and last, to devices that are on.

    The selected operators are not loaded to the devices at this point.

  5. Review the current device assignments for the operators, and modify the list as desired:
    • Click the change link next to the operator's current device, and select a new device in the Change Device dialog box. If an operator is not assigned to a device on this page, a device is assigned to the operator upon import to VoiceConsole.
    • Enable the Exclude operator from this list check box to remove that operator from the operator list.
    • To add more operators to the list:
      1. Click Add an operator to this list.
      2. Select the operators in the Add Operators to List dialog box.
      3. Click Add operators to list.
      4. Click the change link next to the operator's current device, and select a new device in the Change Device dialog box.
  6. Click Save this list, and navigate and save to a location. The operator ID, device name (if the operator is assigned to a device), and operator name (if available) are saved as a .vol file.
  7. If necessary, select to load the operators in the operator list onto the devices when the devices either enter the sleep state or when the devices are placed into a charger. If you do not select this checkbox, the operators load onto the devices only when the devices are placed into a charger.
  8. Click Load operators and finish. If you click Finish, the operators are not loaded to the devices but remain assigned.

Create an Operator List in VoiceConsole by Selecting Operator Teams

There must be enough devices at the site to assign to each operator in the operator list that you are creating. You cannot assign the same device to more than one operator. See Create Devices for information on creating devices in a site.

  1. From the VoiceConsole tab, select Operator Management.
  2. Under Navigation, click Operator Teams.
  3. In the View Operator Teams list, select the operator teams containing the operators that you want to include in the operator list.
  4. Under Operator Team Actions, select Common operator team actions > Create operator list for selected operator teams.
    VoiceConsole assigns the operators to devices in the following ways:
    • If an operator on the selected operator team in the list being created is already assigned to a device in the site, then the operator is assigned to the same device.
    • If an operator on the selected operator team in the list being created is not already assigned to a device in the site, then the operator is assigned first to devices in chargers, then to devices in the sleep state, and last, to devices that are on.

    The selected operators are not loaded to the devices at this point.

  5. Review the current device assignments for the operators, and modify the list as desired:
    • Set up the device-to-operator associations as desired by clicking the change link next to the operator's current device and selecting a new device in the Change Device dialog box. If an operator is not assigned to a device on this page, a device is assigned to the operator upon import to VoiceConsole.
    • Enable the Exclude operator from this list check box to remove that operator from the operator list.
    • To add more operators to the list:
      1. Click the Add an operator to this list link.
      2. Select the operators in the Add Operators to List dialog box.
      3. Click Add operators to list.
      4. Click the change link next to the operator's current device, and select a new device in the Change Device dialog box.
  6. Click the Save this list link, and navigate and save to a location. The operator ID, device name (if the operator is assigned to a device), and operator name (if available) are saved as a .vol file.
  7. If necessary, select to load the operators in the operator list onto the devices when the devices either enter the sleep state or when the devices are placed into a charger. If you do not select this checkbox, the operators load onto the devices only when the devices are placed into a charger.
  8. Click Load operators and finish. If you click Finish, the operators are not loaded to the devices but remain assigned.

Create an Operator List in a Text Editor

You can create an operator list in a text editor by specifying operator IDs, device names, and operator names in the file.

You must include at least the operator ID for each operator. Device name and operator name information is optional.

  1. Open a text editor and enter the following information:
    <operator ID>, <device name>, <operator name>
    <operator ID>, <device name>, <operator name>

    Continue this format for all of the operators that you want to include in the operator list.

    Example:

    JohnS, Device1, John Smith
    JaneD, Device3
    JoeB

    In this example, upon import, JohnS is assigned to device 1, JaneD is assigned to device 3, and JoeB's assignment to a device depends on his previous existence in the system.

    This file cannot contain the following characters: / \ " < > * ? |

  2. Save the file as a .vol file by attaching the .vol extension to the end of the file name. For example, list1.vol.

Import an Operator List into VoiceConsole

This process assigns the operators in the imported list to devices in VoiceConsole.

  1. Click the Operator Management tab.
  2. Under Navigation, click Operators.
  3. Under Operator Actions, select Common operator actions > Import an operator list.
    The Select Operator List File page opens.
  4. Click Browse to navigate to and open the operator list file.
  5. If necessary, select to not edit the imported operator list. If this checkbox is selected, then the operator list is imported, and the operators in the operator list load to the specified devices.
  6. Click Next.
    VoiceConsole assigns the operators to devices in the following ways: 
    • If an operator in the list being imported is already assigned to a device in the site, then the operator is assigned to the same device.
    • If an operator in the list being imported is not already assigned to a device in the site, then the operator is assigned first to devices in chargers, then to devices in the sleep state, and last, to devices that are on.
    The Edit Imported Operator List page opens.
  7. If you selected to not edit the imported operator list in Step 5, the operator list is imported, and the operators in the operator list load to the specified devices. You will not be prompted to perform the following steps.

  8. Review the current device assignments for the operators, and modify the list as desired:
    • Click the change link next to the operator's current device, and select a new device in the Change Device dialog box. If an operator is not assigned to a device on this page, then a device is assigned to the operator upon import to VoiceConsole.
    • Enable the Exclude operator from this list check box to remove that operator from the operator list.
    • To add more operators to the list:
      1. Click the Add an operator to this list link.
      2. Select the operators in the Add Operators to List dialog box.
      3. Click Add operators to list.
      4. Click the change link next to the operator's current device, and select a new device in the Change Device dialog box.
  9. If you want to save the list - including any modifications that you made - click the Save this list link, and navigate and save to a location. The operator ID, device name (if the operator is assigned to a device), and operator name (if available) are saved as a .vol file.
  10. If necessary, select to load the operators in the operator list onto the devices when the devices either enter the sleep state or when the devices are placed into a charger. If you do not select this checkbox, then the operators load onto the devices only when the devices are placed into a charger.
  11. Click Load operators and finish. If you click Finish, then the operators are not loaded to the devices but remain assigned.
